When hosting your websites with us you get complete control over your data. About what data we are speaking, what happens to them and which restrictions apply is discussed further down.

What happens with data of visitors to this website as well as private data of our customers is described in our privacy article.

You too should publish a privacy policy on your website. On our side we log page access to your website and create access statistics which we make available to you. At a minimum you should make aware this fact to visitors of your website.

Control

Control over your data means:

  • You can view your data.
  • You can modify your data at will.
  • We hand over your data to you upon request.
  • You can request deletion of your data and in most cases you can delete your data by yourself.
  • You can transfer your data anytime to any place you prefer.

There exist some technical restrictions which are laid open in the following sections.

As a user of our services you accept these restrictions.

We will be happy to work together in order to find solutions to reduce or eliminate these restrictions.

Websites

Files

Simple (static) websites are stored as HTML files on our servers. You get access - normally via FTP - to the directory on the server where you can manage your data.

The websites of all customers are periodically backed up, therefore there are copies of your websites along the whole period of your contract in our backups.

Databases

More complex (dynamic) websites created with applications (PHP, Drupal, Joomla, Wordpress, etc.) additionally use a database. The database is stored in our database server. Upon request you can get access to our online database administration tool with which you have full control over your databases.

We back up periodically all databases of all of our clients, therefore there are copies of your databases in our backups.

Transfer

If you want to transfer your website to another provider we can hand you over a data base dump; there is no need for you to learn how to work with the online database administration tool.

Access and Statistics

Access to your site is registered in our weblogs, the statistic files in a separate directory per website. Upon request we hand out the weblogs and the statistics in form of file archives.

Weblogs from the static websites are registered in a common file, in this case you have to request an extract of your data separately.

Deletion

All mentioned data can be deleted with exception of the data in the backups and the common weblogs. Currently we can only offer to exclude your data form the backup. In order to back up your data separately - and thus be able to delete the backup copies too, we’d be happy to partner to develop the required technical solutions.

Email

Each customer of MagmaSoft automatically obtains an Email address. Some customers have their Emails forwarded to a silo address or to another Email account. Others handle all their Email traffic directly at MagmaSoft.

Messages

Incoming messages which are not forwarded are stored in a mailbox on our server, this is a specific directory per account on the hard disk. Access to the mailbox is granted via the standardized IMAP protocol, which is used by your Email program. MagmaSoft also offers access via webmail, our webmail in turn again uses IMAP.

IMAP allows download (for reading) of messages, but also moving them into different folders and deletion of messages. Caution! With IMAP, “deleted” messages are only marked for deletion, but still remain on the server. One can “expunge” a folder, this is an operation which (really) deletes all messages marked for deletion. Some email programs can be configured so that expunge is executed every time the Email program is closed.

Upon request we hand over the complete mailbox directory with all message files.

When sending an Email, the server stores the message in a queue directory until it can be handed over to the next Email server in the Internet, or until it is clear that the message cannot be delivered. Normally delivery only requires some seconds. When the message can not be delivered you will receive a “bounce” message. This can take up to a week.

Note: Sent Email are stored by the Email program (also by webmail) in a “Sent” folder via IMAP - that is not a function of the server.

Backups

We back up periodically all mailboxes of our customers. This means that copies of your emails along the whole period of your contract are stored in the backups.

The system logs register date and time, sender and recipient of each incoming and leaving message, as well as when, where and how the message was delivered. Upon request we hand over this information to you, filtering only the relevant data for the requester.

Account data and system logs

Your account data and email address obviously must be stored on the server, this data is hold in a LDAP server.

Both, the system logs and the access data are periodically backed up.

Deletion

You can request deletion of your mailboxes at any moment. When a contract runs out we leave the mailboxes and account data for an indeterminate amount of time on our servers, then they are deleted, often after asking you first if you want have your copy.

The copies of the Emails in our backups cannot be deleted. Upon request we can exclude your mailboxes from the backup.

Of course it would be possible to backup the mailboxes separately per user, which could then be deleted individually upon request. For this to happen respective procedures and technologies have to be developed first.

System log entries about your Email traffic and backup copies of the LDAP server also cannot be deleted. Here too solutions could be developed. If this is already a concern for you we recommend using an anonimizing Email service.

Private “Cloud”

Together with your Email address at MagmaSoft you also get a small private place in the “Cloud”. This place offers the following features:

  • Synchronize your contacts between your smart phone and your computer.
  • A calendar application where you can manage your appointments and synchronize them with your smart phone and your computer.
  • A file storage where you can upload photos and documents and synchronize them with your computer.

With the cloud application, your calendar program and your contact management program you have direct access to the data stored in the cloud.

Access is granted via the web protocol either directly with your web browser or with the cloud application. The connections to the server are registered in the system logs. With respect to this data our privacy policy applies.

You can request deletion of your cloud access at any time, this also deletes the respective data from the server.

The system logs are backed up periodically. It is not possible to delete individual entries of a specific user.

Instant Messaging

With your Email address from MagmaSoft you also get automatically an instant messaging account which allows you to interchange instant messages via the standard XMPP protocol.

Apart from the currently active message interchange no further information is stored on the server. Most probably your instant messaging program will record your conversation on your computer.

The system logs register date and time of all user connections with our system. Upon request we can hand you over this registry.

the system logs are backed up periodically. The entries of individual uses currently cannot be deleted.
